Since its founding in 1987 – back then under the name Ejendomsinvest – PROARK has specialized in property investment and management, both for external clients and their own portfolio, which includes everything from hotels to residential and commercial properties.

With a property portfolio of over 50 properties in Denmark and selected European countries, it is crucial for PROARK to have control over operations and maintenance. This requires structure and systematization. For Frederik Aastrup Rasmussen, who was hired as operations manager with responsibility for the entire property portfolio, the need was clear: an intuitive and user-friendly system that could provide an overview without requiring a long implementation period. From data cleanup to strategic planning

When implementing Upsite, the first step was to collect and structure property data. Frederik Aastrup Rasmussen went through the properties one by one and prepared maintenance plans based on the gathered data.

says Frederik Aastrup Rasmussen, adding that he now uses the system several times a month, corresponding to about a week of work in total.

The digital transformation not only optimizes operations but also makes it easier to pass on vital knowledge internally, plan budgets, and lay down long-term strategies.

The work we are doing now will save us time in the long run. It has already made the budget planning for this year much more manageable because I now have a clear overview of what lies ahead.

A structured approach to maintenance plans

Upsite is built from a structural engineering perspective and is based on the standardized 20-point plan for preparing maintenance plans, which can be customized as needed. For Frederik Aastrup Rasmussen, this has made the implementation intuitive and eased the work of systematizing maintenance tasks.

Upsite not only helps collect and structure property data, but also offers templates, flexible solutions, and suggestions for budget items and building descriptions. One functionality Frederik has particularly benefited from is the chatbot, which can assist with structural engineering questions and drafting text.

Upsite is straightforward, and I like the template setup. I especially use the chatbot to develop my own templates and descriptions so that we achieve a uniform way of working within the organization. This makes it easier to pass on knowledge and ensures that the system doesn't just depend on me – but becomes a tool the whole company can use,
